Region 8 Student Branch Membership Growth Award

Τhere is a need to recognize the essential work of the student branches in Region 8 regarding student membership growth, but also to promote and encourage student branches to work on that direction. The purpose of this award is to recognize the greatest year-to-year student membership increase by Region 8 Student Branches. The following categories of Student Branches will be considered:

  • Large: 50 or more total student members as of 31 December of the past year
  • Small/Medium: 49 or fewer total student members as of 31 December of the past year
  • Newbie: established the past year

 

Eligibility Criteria

  • All Region 8 Student Branches which have successfully reported their annual plan and their officers roster are eligible for the award according to their relative size;
  • No Student Branch may receive two such Awards within three years;
  • Three such Awards will be presented annually; one for each category.

 

Nomination Process

All eligible Student Branches are nominated automatically.

 

Deadline

Deadline follows the Region 8 Awards official deadline.

 

Evaluation Criteria

The selection for this award is according to the latest IEEE Annual Statistics, as follows: 

  • Large: YoY student branch total membership relative increase, and in case a tie the absolute increase
  • Small/Medium: YoY student branch total membership absolute increase, and in case a tie the relative increase
  • Newbie: The student branch with the most members

 

Prize

A digital certificate, a customized award plaque and $250 cash award for each winner.


Region 8 Outstanding Student Branch SIGHT Group of the Year Award

There is a need to recognize the essential work of the existing student branch SIGHT groups in Region 8, but also to promote and encourage student branches to create SIGHT groups. The purpose of this award is to recognize a SIGHT Student Branch Group who has made an outstanding contribution to IEEE SIGHT and to the local underserved community by leveraging technology to accomplish a sustainable solution.

 

Eligibility Criteria

  • All active R8 Student Branch SIGHT Groups;
  • Submitted the annual SIGHT Group report;
  • Implemented a project funded by HAC or SIGHT in the last two years;
  • Submitted a funded project report for their project;
  • Report SIGHT activities on vTools.

 

Nomination Process

SIGHT Student Branch Affinity Groups submit an application ideally using the IEEE Region 8 Awards platform. There will be a form to complete requiring:

  • Number of members in SIGHT Student Branch Affinity Group;
  • Outstanding and sustainable achievement within their local community;
  • References/Recommendations from Section or/and SIGHT or/and Student Branch Chair;
  • Submission of at least one funded project report of their project;
  • External and internal collaborations;
  • Reporting Statistic on vTools.

 

Deadline

Deadline follows the Region 8 Awards official deadline.

 

Evaluation Criteria

The applications will be evaluated on at least the following criteria: 

  • Local impact of the SIGHT Student Branch Group;
  • External collaborations and partnerships;
  • Number of events / project funded;
  • Promotion of IEEE and SIGHT values;
  • Up to date report on Vtools of SIGHT activities;
  • Number of active members.

 

Prize

There will be a single winner of the monetary prize $300 accompanied with a certificate/plaque. The cash prize will be considered to promote SIGHT activities. If no SIGHT Student Branch Affinity Group is eligible for the award, no prize will be awarded.


Local Student Paper Contest Events Program

Introduction

The IEEE Region 8 Student Activities Committee is announcing the Local Student Paper Contest Events Program. This program calls for section student activities and student branch leaders to submit their own version of a local student paper contest and get the chance to showcase their papers on the Regional Student Paper Contest.

 

Goals

The program aims to:

  • Giving incentives to IEEE Region 8 Sections and Student Branches for establishing local student paper contests;
  • Provide an opportunity to students to showcase their technical skills;
  • Promote Regional Student Paper Contest, as well as increase awareness and participation.

 

Rules

The program rules are the following:

  • Applicants to this program can be either Sections or Student Branches;
  • The application should include an endorsement letter:
    • For Sections, only Section Chair, SSAC or SSR can provide an endorsement;
    • For Student Branches, only Student Branch Chair or Counselor can provide an endorsement.
  • Participants should be students affiliated with the organizing OU;
  • The local SPC papers can not get published on conference proceedings with ISBN;
  • The local contest should follow the rules of R8 SPC;
  • The finalists papers of these local events have to be submitted in the Regional Student Paper Contest:
    • 1 finalist for OUs with less than 100 student members;
    • 2 finalists for OUs with 100 – 199 student members;
    • 3 finalists for OUs with more than 200 student members.
    • Note: Student members include both Student Member Grade and Graduate Student Member Grade.

 

Judging

Proposals will be judged from R8 SAC in the following areas:

  • Solid content and Planning;
  • Alignment with program goals.

 

Submissions

The proposal shall contain the following information:

  • Summary of the proposal (max. 250 words)
  • Description of the Local Student Paper Contest
  • Proposed Title, Date, Venue and Organizing Team
  • Preliminary Budget
  • Suggested Program and Time Schedule
  • Goals and KPIs
    • Provide a short timeframe with milestones
    • The event should be organized within the year of approval and in any case before the R8 SPC deadline for submissions

The submission shall:

  • be a maximum of 6 pages (without endorsement letter);
  • be in Times new roman font and 11 font size;
  • be submitted in pdf format;
  • include as attachment the endorsement letter.

 

Funding

The entries which exceed the minimum standards will receive up to 300$ per Student Branch or up to 500$ per Section to be used as secured funding. The funding will be sent in the (parent) Section’s bank account after the submission and evaluation of the final report. The funding does not cover virtual platforms costs and covers up to 80% of the total budget. Funding Eligibility Criteria and Outcome Reporting Rules are applied on this program.

A Step-by-Step Guide for Student Branch Chapters

Step 1. Host your first Chapter Committee meeting

  • Who could attend?
    • You can invite the Advisor to the meeting
    • Important chapter officers should attend
    • SB Representative (e.g. Chair, Chapter Coordinator) could also be invited
    • Your meeting could be open to all Chapter members or entire SB members
  • Discuss the roles and responsibilities of your Chapter officers according to your Student Branch Constitution following your Student Branch and its Chapters reality.
  • Schedule your meeting dates according to your needs
  • Plan your events and your overall activity
  • Prepare your action plan for your Chapter Chair to present it at the SB ExCom meeting

 

Step 2. Participate and organize events

  • Participate in your SB introductory event and explain “What is your Society? Why did we join  and why should YOU?”

Step 4. Half-year membership season

  • Recruit new members (1 March – 15 August) at a 50% discounted price in comparison with full-year membership

Student Paper Contest 2022: 1st Phase Results

This year there were 15 submissions in total, from which 13 submissions were accepted as valid. The submissions were from the following student branches:
