Region 8 Coordination for Standards

Overview

The IEEE R8 Standards Coordination committee arranges standards speakers as a service to support IEEE R8 Sections, Chapters, Student Branches and Conferences with high qualified industry professionals and standards development experts on various aspects of standardization. Standards speakers are organised not only to benefit the IEEE R8 Sections, Chapters, Student Branches and Conferences, they can also be effective in generating interest in membership.

Topic areas can include Aerospace Electronics, Antennas and Propagation, Batteries, Communications, Computer Technology, Electromagnetic Compatibility, Green and Clean Technology, Healthcare IT, Industry Applications, Instrumentation and Measurement, Nuclear Power, Power and Energy, Smart Grid, Software and Systems Engineering, Transportation, Wired and Wireless Communications as well standard development in general. If you are interested in an area not listed, it is possible that a standards speaker can be identified.

Standards speakers for events and conferences

A standards speaker may be arranged to provide a keynote address in relation to a particular standard, technical area of standardization or standardization in general. Alternatively, a standards speaker can provide a presentation(s) or tutorial(s) on a particular standard, area of standardization, or standardization in general. Finally, multiple speakers may be arranged to provide an entire standards track, again in relation to a particular standard, area of standardization, or standardization in general. In some cases, it may be possible that the IEEE Standards Association (IEEE-SA) will have an interest in providing a standard at the event or conference.

Standards Section, Chapter and student branch events

A speaker may be arranged for a Section, Chapter and student branch events to speak about a particular standard, technical area of standardization or standardization in general.

Alternatively, a standard workshop may be arranged for a Section, Chapter or student branch on ‘Demystifying Standards’. Such a workshop covers the value of standards in general, as well as specific technical topics geared to audience interest and is presented by standards speaker(s). Such a workshop can be customised to be as short as a couple of presentations, to an all-day immersion into particular standards series or topic. Such events are suitable for undergraduate and graduate students and can be customised for educators or industry professionals in engineering, computing, technology and business fields.

In addition there is the potential that an IEEE Section, Chapter and student branch may be able to host the Standards Game. While the Standards Game is being sold as a product, there is the opportunity to run it for sections and student branches at no cost with a qualified volunteer(s) serving as facilitators. The Standards Game does not require technical knowledge and is suitable for undergraduate and graduate students, and industry professionals in engineering, computing, and technology and business fields. To run the Standards Game successfully there is a requirement for a minimum number of committed attendees in excess of 25.

Standards events

A Section may partner with the IEEE R8 Standards Coordination committee, and potentially with the IEEE-SA, to stage a public standards event such as a Standards Workshop or Standards Summit to engage with industry or government. An important component in making such an event feasible is having local section members that can help facilitate outreach to local industry or government.

Financial support

To support the activities of the IEEE R8 Sections, Chapters, Student Branches and Conferences, the IEEE R8 Standards Coordinator committee can reimburse the travel costs of each standards speaker up to a normal limit of $250 per speaker per engagement. In exceptional circumstances, for example, the need for intercontinental travel, a high amount may be available. In all circumstances, any financial support is subject to agreement and program budget constraints. Before making any travel arrangements a standards speaker shall first obtain approval for his or her travel budget from the IEEE R8 Standards Coordinator.

Sharing of expenses between the benefiting Section, Chapter Student Branch or Conference is expected. For example, a benefiting Section, Chapter Student Branch or Conference can arrange the meeting space as well as audio-visual equipment such as a projector and screen. In addition, they could provide refreshment at the event, local transportation for the standards speaker and meals and accommodation if necessary. In addition, a benefiting Conference is expected to waive any registration fee for the standards speaker(s) if the standards speaker(s) only attends the portion of the conference necessary to provide the standards event.

It is recommended that on an expensive trip, the inviting entity works with the standards speaker(s) to arrange for multiple opportunities. As an example, when an event will involve a standards speaker travelling intercontinentally, addition events in the same city, country, or nearby countries, should be arranged to occur at the same time.

In order to evaluate a request for a standards speaker please send a request to IEEE R8 Standards Coordinator. Please include as much information about the request as possible, but at a minimum please provide the following. Please request a speaker with as much advanced notice as possible, all request will receive an initial response within ten working days.

How to Find Speakers

Ask at your university

Assistants or Professors at your university are often happy to give a talk about topics they are working at.

 

Ask companies

Most companies will send you somebody to give a talk if you are prepared for some included marketing. Try to keep it under control, but use the resources companies may offer you.

 

Leverage the IEEE opportunities

IEEE can help you in various ways if you need speakers for your event though the offered programs.

  • If you need someone to give a talk on issues internal to IEEE, such as IEEE organization structures, things IEEE can offer, or topics regarding IEEE Student Activities, the best option is to email us at [email protected] and tell us what kind of talk you would like to have. We will then try to find someone to give a talk.
  • For technical speakers, societies are usually a good contact. Most of them have something like a program of distinguished speakers, or another way to find speakers.
  • In case you have formed a Student Branch Affinity Group or a Student Branch Chapter, you can check the sponsoring IEEE unit for targeted programs or fundings.

Formation of a new Student Branch

An IEEE Student Branch provides opportunities to meet and learn from fellow IEEE Student and Graduate Student Members and engage with professional IEEE members locally. An active IEEE Student Branch can be one of the most positive elements of your academic career, offering programs, activities, and professional networking opportunities that build critical skills outside of the classroom. IEEE currently has Student Branches at thousands of universities and colleges in hundreds of countries throughout the world.

Petition Process

ORGANIZERS
  • The Organizer must be an active IEEE member of Student or Graduate Student Member grade and attend the school
  • The Organizer shall serve as the interim Student Branch Chair pending election at a later date
ENDORSERS Student Branch petitions must be endorsed by the following:

  • 1 Institutional Department Head (need not be an IEEE member, but must create an IEEE Web Account to Endorse.)
  • 1  Faculty Counselor, who must be an active IEEE member of Graduate Student Member grade or higher, teaching in the IEEE designated fields of interest
  • 2 Faculty Members, who must be an active IEEE member of Graduate Student Member grade or higher, teaching in the IEEE designated fields of interest

Endorsers will be invited to endorse the petition once the petition has been verified by IEEE Staff.

PETITIONERS Student Branch petitions must be signed by the following:

  • 12 active IEEE members of Student or Graduate Student Member grade who attend the school

Qualified members will be invited to sign the petition once the petition has been endorsed by all Endorsers.

APPROVERS Student Branch petitions must be approved by the following:

  • Region Director (or their designee)
  • Regional Student Activities Chair

Approvers will be invited to approve the petition once the petition has been signed by 12 Petitioners.


Formation of a new Student Branch Chapter

Student Branches can form Technical Branch Chapters, which are related to an IEEE Society. So for example a Branch might form a Computer Society Chapter or a Robotics and Automation Society Chapter. This might provide some advantages in organizing your branch, for example if you want to expand branch activities to multiple faculties. Also, Societies may offer different kinds of support for student branch chapters. A branch chapter can be a good contact point with the IEEE societies – for technically oriented events, you might be able to get support from the societies easier if you are organized in a chapter. In order to form a Student Branch Chapter it is necessary to have (or form) an IEEE Student Branch.

What about Joint Student Branch Chapters?

A Joint Student Branch Chapter is comprising the members of more than one Society. Submit your Student Branch Chapter petition selecting more than one (1) Societies in order to establish a Joint Student Branch Chapter. The petition shall contain at least six (6) signatures in total and each Society involved shall be represented by at least three (3) signatures. An example of a Joint Student Branch Chapter can be from sister societies like Power and Energy Society with Industry Applications Society, or/and Communications Society with Signal Processing Society.

  • Student Branch Chapter Advisor, who must be an active IEEE member of Graduate Student Member grade or higher, Faculty Member of the school, and an active member of the Society(ies) or Council(s) involved

Endorsers will be invited to endorse the petition once the petition has been verified by IEEE Staff.

PETITIONERS Student Branch Chapter petitions must be signed by the following:

  • 6 active IEEE members of Student or Graduate Student Member grade who attend the school, and are members of the Society(ies) or Council(s) involved

Qualified members will be invited to sign the petition once the petition has been endorsed by all Endorsers.

APPROVERS Student Branch Chapter petitions must be approved by the following:

  • Region Director (or their designee)
  • Regional Student Activities Chair
  • Society/Council President, for each Society/Council involved

Approvers will be invited to approve the petition once the petition has been signed by 6 Petitioners.

Student Branch Required Reporting

Step 1. Officer Reporting

vTools Officer Reporting is an online officer reporting tool that enables authorized volunteers to make modifications to the officer roster. The tool provides automatic validation and updates the central IEEE database. Each time a new ExCom member or Branch Counselor is selected to serve at your Student Branch, the IEEE Operations Center must be notified.

 

Step 2. Annual Plan Reporting

vTools Student Branch Reporting helps you keep track of your yearly activities by submitting your Student Branch Annual Plan. It also serves as a valuable historical document to aid future executives in their planning and records financial statements so it is important that the Student Branch Treasurer is involved in the preparation of the report. The due date for filing your Annual Plan is on or before 1 February annually.

 

Step 3. Events Reporting

vTools Events is used for creating and managing local meetings. Completing the Student Branch Activity Report should help you evaluate the success of your program and to provide some continuity for future years. Officers can create meeting announcements by entering all relevant meeting information in one central place. Each created event is accessible at the vTools Events website and the events are automatically exported to various sites, including IEEE websites, Collabratec and IEEE Event Finder Mobile App.


Available Tools for Student Branches

A. Request a Functional Email Alias for your SB

You can request a SB email alias that forwards to an individual using this registration form. For example, [email protected] is an example Student Branch alias that forwards to the respective Student Branch counselor.

Student Branch standard format is [email protected] or [email protected] for a Student Branch Chapter.  Include the school name, abbreviated as necessary, and the society code for chapters.  (There is a 15-character limit.)

 

B. Request Web Hosting for your SB website 

You can request hosting for a wordpress-based website for your Student Branch using this registration form. This service is intended to meet the needs of IEEE Organizational Units that want to develop, create and maintain their own websites on an IEEE host. The general philosophy is that posting Organizational Units will be responsible for their contents, their maintenance and their conformance to IEEE policy.

 

C. Send massive emails and newsletters to your SB members

vTools eNotice is an electronic newsletter subscription service that has been developed for IEEE organizational units to facilitate email distribution of newsletters, meeting notices, social events and IEEE conference materials. IEEE organizational units using this service are strongly encouraged to limit emailings to one per week. Please note that the emails are sent only to the registered IEEE members of your Student Branch.

 

D. Organize your elections with vTools Voting

vTools Voting enables online officer elections for sections/chapters/affinity groups. Electronic ballots give members an option to submit votes in their officer elections online.

 

E. Membership Validator

IEEE Membership Validator is an online utility that allows volunteers and staff to easily and securely check IEEE member status, grade, and society memberships and offer discounts available exclusively to IEEE members. Information can be looked up by either a member number or a member’s primary email address.

 

F. OU Analytics

IEEE OU Analytics is the visual business intelligence tool for volunteer access to member data. With this tool you can have access to the registered IEEE members list of your Student Branch.

 

G. Membership Development Materials

Various IEEE membership development materials are available to support your recruitment efforts. Materials include membership and program brochures, promotional posters, tabletop displays, information sheets, and limited amounts of giveaways. You can access the respective page for detailed information.

Notes: Account credentials for the ordering portal are provided to Student Branch Chairs upon request. Normally international orders require 4 weeks lead time. A minimum of 30 days is required prior to placing a new order.

Hackathon “Ethical dilemmas in AI – Engineering the way out”

 

IEEE and the Association of Nordic Engineers (ANE), in collaboration with DataEthics.eu and the University of Copenhagen, are co-organizing the Hackathon “Ethical dilemmas in AI – Engineering the way out”, which will take place on-line on 3-4 September 2020 from 09:00 to 12:00. From IEEE side, the event is sponsored by the European Public Policy Committee and the Standards Association, and supported by the Vienna Office.

 

The hackathon, which will feature the participation of ca. 50 experts (25 from IEEE and 25 from ANE), will explore the gaps between existing guidelines and recommendations for addressing ethical issues with respect to AI technologies and the realities experienced by engineers in practice.

 

During the hackathon you will:

  • Work with professionals from the Nordic and other countries to collaboratively develop best practices and recommendations for engineers to navigate the application of new AI technologies,

  • Share own experiences and expertise, evaluate and discuss current challenges with respect to AI technologies,

  • Expand your network and exchange experiences with peers from the Nordic countries and beyond.

IEEE Connecting Experts webinars by IEEE Young Professionals – July 2020

Building on successful May and June editions, and provided feedback, we are now bringing you five webinars in July on topics of Entrepreneurship and Technology. The program has grown largely since the beginning and we are now hosting our first IEEE Distinguished Lecturer. The program is also extended by additional collaboration of several local, regional and global IEEE organizational units: Turkey and Norway affinity groups, IEEE Standards Association, IEEE Communications Society Young Professionals, IEEE Microwaves Theory and Techniques Society Young Professionals and IEEE Region 8 Entrepreneurship Initiative.

 

 

For IEEE members who would like to actively participate in the sessions by providing text, voice or video comments and questions during discussions, you can join Webex calls. For this, please register your e-mail within the following form (you may use IEEE login as well) and you will receive tailored details for each upcoming webinar few days before. You can also find this option in the IEEE Connecting Experts Calendar that is regularly updated with Webex registration details together with events, topic and speaker descriptions.

 

After July, we are going to continue again in September in special form of tailored content for Region 8 Virtual Student and Young Professionals Congress 2020 (vSYP 2020).

IEEE Region 8 Young Professionals Awards 2023

 

 

Yep, it’s that time of the year again: awards season is here! And as an active Young Professionals volunteer, you should keep your eye on these two:

  • IEEE Region 8 Outstanding Young Professionals Affinity Group Award
  • IEEE Region 8 Young Professional Exceptional Volunteer Award

The submission form is filled online, through IEEE Region 8 Awards online platform.

 

The nominations deadline for both the R8 Young Professionals Awards is the 31st of May. All nominations submitted after this date will not be taken into consideration.

 

We advise you to start preparing the required nomination materials as soon as possible, since it usually takes longer than expected. The vTools activity reports are required and fundamental during the winner’s selection process, so make sure all your activities are submitted in the vTools platform through event reports by the time you apply.

2023 Region 8 Outstanding Young Professionals Affinity Group Award – for activities in 2022

Nomination period is open until the 31st of May 2023.

Description:

To recognize Young Professionals Affinity Groups (AG) within Region 8 for their efforts, successes and achievements in carrying out the mission of IEEE YP and the aims of IEEE in Region 8 within their Section during the calendar year of 2022. Recognition will be given to the Young Professionals AG that displayed the most successful maintenance of ongoing efforts, as well as the development and implementation of new programs. These activities shall leave an important imprint on the Section and on Region 8. The winning AG will receive a certificate providing the citation for the award and a cash prize of $400 granted by the R8 YP Subcommittee to the corresponding Young Professionals AG.

Eligibility criteria:

  • The Young Professionals AG must have at least 20 Young Professionals members;
  • All activities from 2019 must be submitted correctly to vTools on the form of event reports by the time of the application;
  • The Young Professionals AG must not have received another IEEE award in the past 12 months;
  • The $400 prize must be used to support local Young Professionals activities;
  • Affinity Groups which have been awarded the Outstanding Young Professionals Affinity Group award in the past 5 years (for years of 2018-2022) are not eligible to participate (Israel, Croatia, UK & Ireland, Turkey, Nigeria).

Nomination process:

Proposals for nominations of a Young Professionals AG for this award will be made by the Section and supported by 1 letter of endorsement by the Section Chair or another member of the Section’s Executive Committee. Alternatively, a Young Professionals Chair can also nominate a Young Professionals AG, provided that his/her nomination is endorsed by at least 1 other Young Professionals member and preferably also by a member of the Executive Committee of the Section. The documents needed to create a nomination are:

  1. Nomination letter from Section Chair or another member of the Section’s Executive Committee OR nomination letter from the Young Professionals AG chair and another Young Professionals AG member and a member of the Section’s Executive Committee;

2023 Region 8 Young Professionals Exceptional Volunteer Award – for activities in 2022

Nomination period is closed by the 31st of May 2023.

Description:

To recognize a volunteer within Region 8 for his/her dedication towards the mission of IEEE Young Professionals. The recognition will be given to a devoted Young Professional member that presents the most successful maintenance of ongoing efforts, leadership skills, and remarkable development and implementation of new ideas and programs within the last year. These activities shall have an important impact on the Section and on Region 8 Young Professional community, and other IEEE members. The winner will receive an award and diploma providing the citation for the award granted by the Region 8 Young Professionals Subcommittee.

Eligibility criteria:

  • The volunteer must not have received another IEEE award in the past 12 months;
  • The candidate’s Affinity Group must not have been awarded with the Region 8 Outstanding Young Professionals Affinity Group Award in the previous year;
  • The Region 8 Young Professionals Exceptional Volunteer Award nominee cannot belong to an Young Professionals Affinity Group nominated to the Region 8 Outstanding Young Professionals Affinity Group Award in the same year;
  • The volunteer must be a Young Professional member of an active Young Professionals Affinity Group in good standing, i.e. with all the required reporting up to date and elections in order;
  • Members of Region 8 Young Professionals Subcommittee are not eligible to be nominated;
  • Self nominations are not allowed.

Nomination process:

  1. Endorsement letter from Section Chair or other member of the Section’s Executive Committee or the Young Professionals AG chair;
