Call for Proposals – IEEE Region 8 Student and Young Professional Congress 2022

 

We would like to invite proposals to host the upcoming IEEE Region 8 Student and Young Professional Congress 2022.

 

The Region 8 SYP Congress is the biggest IEEE event for students and young professionals in Region 8. 400+ members from across the region come together for five days to enhance their knowledge, expand their network, develop skills, socialise with others from a variety of cultural backgrounds and have a lot of fun! 

 

Many students regard the SYP Congress as the highlight of their IEEE experience, so if you would like to host this prestigious event in your University in summer 2022, submit a proposal to us now! 

 

 

 

Writing of a Proposal

To nominate your IEEE Student Branch to host the next SYP Congress, you must submit a proposal document to us, explaining how your IEEE team will facilitate this event and some ideas for the event programme. Suggestions for a well-prepared proposal include:

  • Demonstrate that you have an enthusiastic team that is experienced enough for the task and have ideally participated in a previous edition of the Congress.
    • Collaborate with your local IEEE Section officers, local Young Professionals and Women in Engineering affinity groups, Humanitarian Activities Committees, etc.
  • Show that you have the infrastructure within your chosen city to host the event, which includes:
    • Attendee accommodation.
    • Transportation and travel options.
    • Catering (keep in mind diverse dietary needs).
    • Facilities for hosting workshops, panel sessions, plenary sessions, and networking.
    • Facilities for social events.
  • Present and showcase your chosen city and suggest tours and/or cultural activities.
  • Include a preliminary five-day schedule and a budget estimation.
  • Show innovation and creativity!

How to Apply

The nomination is a multi-stage process. 

 

1st Stage

First, a two page proposal shall be submitted to us, before 21st of September 2021. This proposal should include essential items such as: the date, location, team members, why you should be selected, student branch background and experience, ideas for the program, etc. Based on this first stage proposal, we will provide valuable feedback and suggestions for the next phase. This stage is mandatory to submit your final proposal.

 

Please submit the first proposal with the subject: “IEEE R8 SYP First Proposal-<Name of SB>” to [email protected].

 

2nd Stage

The final proposal shall be submitted by 30 September 2021. This proposal should be less than 25 pages in length, and will be used to fully evaluate the ability of the candidates to host the IEEE R8 SYP Congress 2022. The final decision regarding the host of SYP Congress will be announced in mid-October prior to the Region 8 Autumn Meeting.

IEEE EMEA Blockchain Seminar – September 8, 2021

A collective effort of the IEEE Blockchain Regional Groups in Europe and Africa (12 groups), under the IEEE Blockchain Initiative, has already given rise to our first joint event: the IEEE EMEA Blockchain Seminar, to be held on September 8, 2021https://blockchain.ieee.org/conferences/emea-event.

 

This event is supported by the regional local groups and has a strong program where all of the active groups (per section/country) had the opportunity to nominate a speaker, we believe it may be of high interest to all of our Region 8 members.

Three (3) Top Solutions to tackle Covid-19 emerges from JEH21 Hackathon

The second edition of the IEEE Region 8 SIGHT Hackathon tagged Jordan and Emirate Hackathon 2021 (JEH21) was organized by SIGHT group of American University of Sharjah (AUS) United Arab Emirate student branch, Al-Balqa Applied University Student branch (BAU) Jordan, and supported by the IEEE Region 8 Humanitarian Activities committee. The first edition of the hackathon was organized by the IEEE Egypt Section SIGHT group in April 2020.

The hackathon that lasted 5 weeks from 7th of April to 16th of May 2021 witnessed participants from various countries around Region 8 that includes UAE, Egypt, Syria, Tunisia, Jordan, Sudan, Yemen, Ukraine, Nigeria, Sudan, Kenya, Lebanon, and Kyrgyzstan. Participants were required to come up with a technological idea (software or hardware) to solve the humanitarian problems caused by COVID-19 in the aspect of education, health care, poverty, social issues, and other pandemic-related problems. Seven (7) teams qualified for the final after successfully passing through the conception stage and mentoring stages of the competition that uses virtual platforms such as Zoom, Discord, and WhatsApp to interact with the various teams in the competition.

The top 3 teams were COVID Band – UAE, Bloom – Egypt, and Anovators – UAE that emerged as first and second respectively. Other teams that participated in the final pitch are shown in table 1 below:

Covid-Band team that emerges winner developed a prototype wearable device to combat Covid-19. It has a temperature sensor to keep track of the body temperature of students throughout the day with the capabilities of alerting school authorities in case of an abnormal rise in temperature. In addition to temperature reading features, pulse measurements features were incorporated in the device to support such cases. Another key feature developed in the device is social distancing monitoring as the device vibrates if the social distancing protocols rule is violated. Less than 200 USD built 2 prototype devices.

ELIMUSAFE COVID-19 IEEE HAC/SIGHT PROJECT IN KENYA

After a successful application of the IEEE HAC/SIGHT COVID-19 project, ElimuSafe project was approved under IEEE Kenya Section courtesy of the lead applicant Sally Musonye. The project name is from two words “Elimu” meaning Education and “Safe” whose main goal is to promote a safe learning environment for the students. The project was to be implemented in partnership with IEEE Jomo Kenyatta University of Agriculture and Technology (JKUAT) SIGHT chapter. The implementation took longer than expected due to COVID-19 restrictions from the Government of Kenya especially when guests are supposed to visit schools. After the ban was lifted, the volunteers finally got the opportunity to implement the project as planned. The funding was supposed to facilitate implementation of foot-operated hand washing stations, reusable face masks and soap. The implementing team decided to partner with other organizations such as AshGold Africa, Safaricom PLC, and African Cotton Industries to implement the project in Kyeni Girls Secondary School in Kitui County, Kenya.

 

Kyeni Girls was started in the year 2015 with 3 students. It was later renamed from Kathungu Girls Secondary School to Kyeni Girls Secondary School due to communal reservations. The school has a capacity of 157 students. It has a total of 120 currently with an exception of form four who left in March 2021. Form one class is expected to join in August 2021. It has a total of 10 teachers, and 5 non-teaching staff. Kyeni Girls is situated in Kathungu village, Kathungu location, Mulango ward, Katulani sub-county and Kitui county. The school occupies 4.5 acre of land. It has one administration block, five classrooms, one science laboratory, one dormitory, and one dining hall. So far it has done KCSE three times since 2018 to date. The current mean dropped to 3.2 out of 12 points but the school’s target for 2021 is 4.5. Most of the students are boarders but a few cases who are dayscholar. The school has graduated 95 students since its inception.

 

 

On the D-Day, the team arrived in the afternoon after almost 4 hours of driving from Nairobi. The team of 13 volunteers and mentors were welcomed in the school by the school principal, teachers, and students. The team had a briefing session with the school administration which also involved going round the school to view their facilities and infrastructures. Later, everyone in the school was gathered in the dining hall where students showcased their talents through poems and songs which were very insightful and informative. Finally, volunteers and mentors had a chance to share their motivational and inspirational journey to the students. The session lasted for almost 2 hour.

Through IEEE and other partners, the school received 6 IEEE-branded foot-operated hand-washing stations, 200 IEEE-branded reusable face masks, soap making chemical ingredients and containers for 100 liters liquid soap, 100 Safaricom-branded string bags and pens, 1000 pieces of sanitary towels and Queenengineers magazines highlighting inspirational women engineers from Kenya.

 

Volunteers left the school at around 6:30 pm and the last person was reported to arrive safely at home at around 11pm due to evening traffic jams in Nairobi. All went on well and the team got great feedback from the teachers and students regarding the impact created by the IEEE and partners. The following are some of the feedback received:

We are currently searching for Associate Editors to join the IEEE Region 8 Sigma Magazine editorial team. If you are looking to be part of a brand new venture in Region 8, our “Spectrum-like” magazine Sigma, and embrace an opportunity to unleash your creative side then we want to talk to you! As an Associate Editor, you would be responsible for the management of articles and stories for our magazine – you will be responsible for a few stories per issue – this includes: commissioning stories from prospective authors, working with authors to create stories, proof-reading and peer review (where appropriate) as well as having the opportunity to contribute to the direction of Sigma with ideas for content and story-lines. We realise that very few of our volunteers will have experience in working for a magazine – so no experience necessary (if you do, great! get in contact asap!) – however any editorial contributions you may have would definitely be a bonus.

 

So, if you have ideas for content, want to be part of a new and vibrant team, and want to volunteer to contribute to your Region then please do get in touch with us. The roles and responsibilities of an Associate Editor are listed below. We wish to speak to anyone who is interested and will be holding an online information session for anyone who wants to know more – so please do get in contact with the EiC by filling in this quick form here (it will take you 20s at the most) and we will be in contact.

 

Associate Editors (AEs) shall:

  • Liaise with the Editor-in-chief (EiC), assisting in preparing content for multiple issues of IEEE Region 8 Sigma Magazine
  • Be responsible for a minimum of three articles of Sigma per year, we envisage a commitment of 2 hours/ week initially* – taking on the role of content-creator/ owner/ lead of these articles
  • Liaise with potential authors, article authors, the EiC, and the rest of the board to supply their articles for the issue deadlines
  • As part of the editorial board participate in brain-storming sessions for content and other editorial board meetings as may be necessary for the smooth running of the magazine
  • Manage the peer review for any content that requires it **

    *This will change as the editorial board grows and the number of issues of Sigma regularise over time. The planned number of issues per year is three to four. **Peer review for magazine articles will vary depending on the article and will not be the same as for technical articles.

Special meeting on Innovative startups and entrepreneurs

Objective

This special meeting is structured in two panels dedicated to:

  • entrepreneurship financial and institutional supports, the importance of ethics in technology;
  • some examples of successful startups.

The first panel will focus on entrepreneurship supports for success. Funding, organization, management, business strategies and planning, incubators, guidance, mentorship, and institutional supports will be discussed. A presentation of the recent advancement in the P7000 standard will describe the process for addressing ethical concerns during system design.
The second panel will present some examples of successful and innovative startups with the accent on challenges at times of pandemic and with an illustration of best practices, problems encountered, and solutions.

Call for Best Entrepreneurship Activity Pitch Presentation

This call is devoted to young Startups (TRL 1-3) and entrepreneurs to showcase successful entrepreneurship ideas in the field of interest of IEEE.

 

The competitors shall prepare a  5 minutes video:  “My entrepreneurship idea in 5 minutes” in which will present their entrepreneurship idea and activity using slides, pictures, photos, graphics, lab demo, etc., to describe in the most convincing and attractive way their innovative idea, achievements, and field of application.

 

The participants at the IEEE RTSI START-UP AND ENTREPRENEUR VIDEO EVENT will be able to vote for their favorite video using a special application (i.e. Mentimeter) on their smartphones.

 

The competition will take place during IEEE RTSI 2021 “electronic virtual conference” (on September 6, 2021) and the participation is free of charge. See the program schedule on the web page of the conference to know the exact time. More details about: the platform to be used for the “live streaming event” and how to access, will be available on the conference web and sent to the video authors.

 

All competitors will receive a participation certificate and the best video will be awarded a customized IEEE certificate.

 

Entrepreneurs willing to participate in this competition shall send an e-mail to this address: [email protected] no later than July 25.

 

In the Object of the e-mail the participant in this competition should write:

 

Best Entrepreneurship Activity Pitch Presentation – name surname

 

In the text of the e-mail the participant shall include the following info:

  • title of the video
  • name and affiliation of the author
  • e-mail of the author

Details about uploading procedures will be sent to participants by e-mail.  The deadline for the submission of the video is August 10, 2021. All videos shall have MP4 format, size not larger than 100 MB and they shall not be longer than 5 minutes. A special commission will select the best videos (maximum 16 videos) that will be presented and voted by participants to the event.

All videos will be uploaded on the IEEE Italy Section web and media (depending on author permission).

The IEEE Region 8 2023-2024 Delegate-Elect/Director-Elect will be elected by the voting members of Region 8 in the 2022 IEEE Annual Election from the slate nominated by the R8 Committee. The Region 8 Committee will select the slate during the Region 8 Committee meeting either in the Fall of 2021 or the Spring of 2022.

 

The IEEE Region 8 2022 Vice-Chairs will be elected during the Region 8 Committee Meeting in the Fall of 2021. Note that the current Vice Chairs are eligible for re-election.

 

For all further details, including petition processes, please refer to the IEEE Region 8 Bylaws and the IEEE Region 8 Operations Manual (available at the IEEE Region 8 website in the ‘Documents’ section), in particular, the sections R8-3.1.2 ‘Director-Elect’ and R8-3.1.7 ‘Vice Chairs’ in the Bylaws and the sections R8-4.2 ‘Region 8 Director-Elect,’ R8-4.6 ‘Region 8 Vice Chairs’ and R8-5 ‘Elections and appointments procedures’ in the Operations Manual.

  • be invited to attend the IEEE Board of Directors and the IEEE MGA Board meetings (as part of the preparation and education for the later service)

  • serve as a member on the IEEE Region 8 Nominations & Appointments Subcommittee (except in the process of selecting candidates for the IEEE Region 8 Delegate-Elect/Director-Elect).

  • IEEE Assembly (as delegate/representative of IEEE Region 8 members)

The IEEE Region 8 2023-2024 Delegate-Elect/Director-Elect will be elected by the voting members of Region 8 in the 2022 IEEE Annual Election from the slate nominated by the R8 Committee. The Region 8 Committee will select the slate during the Region 8 Committee meeting either in the Fall of 2021 or the Spring of 2022.

The IEEE Region 8 2022 Vice Chairs will be elected during the Region 8 Committee Meeting in the Fall of 2021. Note that the current Vice Chairs are eligible for re-election.

For all further details, including petition processes, please refer to the IEEE Region 8 Bylaws and the IEEE Region 8 Operations Manual (available at the IEEE Region 8 website in the ‘Documents’ section), in particular the sections R8-3.1.2 ‘Director-Elect’ and R8-3.1.7 ‘Vice Chairs’ in the Bylaws, and the sections R8-4.2 ‘Region 8 Director-Elect,’ R8-4.6 ‘Region 8 Vice Chairs’ and R8-5 ‘Elections and appointments procedures’ in the Operations Manual.

The individual elected to serve as the IEEE Region 8 2023-2024 Delegate-Elect/Director-Elect will serve for six years: in 2023-2024 as Director-Elect, in 2025-2026 as Director, and in 2027-2028 as Past Director.

In 2023-2024 this individual will:

– be invited to attend the IEEE Board of Directors and the IEEE MGA Board meetings (as part of the preparation and education for the later service)
– serve (as a voting member) on the IEEE Region 8 Committee and IEEE Region 8 Operating Committee
– serve as member on the IEEE Region 8 Nominations & Appointments Subcommittee (except in the process of selecting candidates for the IEEE Region 8 Delegate-Elect/Director-Elect).

Additional duties may be expected and will vary.

In 2025-2026 this individual will serve on the:

– IEEE Assembly (as delegate/representative of IEEE Region 8 members)
– IEEE Board of Directors
– IEEE MGA Board
– IEEE Region 8 Committee (as chair)
– IEEE Region 8 Operating Committee (as chair)
– IEEE Region 8 Nominations & Appointments Subcommittee.

Additional duties may be expected and will vary.

In 2027-2028 this individual will serve on the:

– IEEE Region 8 Committee
– IEEE Region 8 Operating Committee
– IEEE Region 8 Nominations & Appointments Subcommittee (as chair)
– IEEE Region 8 Strategic Planning Subcommittee (as chair or as a regular member)
– IEEE Region 8 Awards & Recognition Subcommittee (as chair or as a regular member).
