Student Paper Contest 2022: Call for Papers

GENERAL 

The Student Paper Contest (SPC) is one of the main technical activities in Region 8. It was  established in 1967 and since then it is an excellent occasion for personal leadership and  involvement of student members in a prospective IEEE scientific/technical activity and to  increase the visibility of the student branch. It also makes possible further promotion of IEEE among students. The success of the SPC relies heavily on the input from the Student Branch Officers, especially  the Student Branch Counselor and the Student Branch Chair, but also on academic members  especially those who form part of the local IEEE section. 

 

Once every year, each IEEE R8 Student Branch (SB) may hold and organize a local Student Paper  Contest under its own responsibility. The organization of a local SPC generally means that  contest should be announced publicly in advance and that all submitted papers are to be locally  reviewed by qualified specialists. Additionally, all R8/Sections/Chapters IEEE Conferences,  having student papers sessions included in their programs, could and should also be used to get  additional proposals for SPC. As long as a SB is formally supporting and accepting any type of a  student papers contest activity, it is in line with the existing SPC rules. Student Branch  Counselors should be fully involved in all local SPC activities, as well as all other local IEEE  officers (Section Chairs, Chapter Chairs, student activities officers, members of executive  committees…). 

 

The winner(s) of each local Student Branch Contest may compete for the Region 8 Contest. A  Student Branch may submit one paper per every 100 Student Branch members or part thereof,  with a maximum of three papers per SB. At the same time, especially in small branches where the managing of a local contest is difficult, the IEEE section officers can encourage students to submit their work as a paper to the SPC.  This is a good exercise for students, especially those who intend to continue to a doctorate. 

 

WHO COULD PARTICIPATE 

IEEE Region 8 Student Paper Contest is for IEEE R8 student members or graduate student  members who have not yet started their PhD. Only IEEE R8 student members could be authors  of the IEEE R8 SPC papers. Since the five finalist papers are being included in the conference  proceedings as well as in IEEE Xplore Library, the rules will now allow that the name of the  supervisor/mentor may be added, as an author, to the final version of the paper. This does  not change in any way the basic rule that the submitted paper is the work of the student. Each student author must be a member of an IEEE Student Branch at the time of the original  submission of the paper to the Branch Contest, and a member (student or not) of the IEEE at  the time of the R8 Oral Finals presentation. The work presented has to be completed before the student receives the engineering degree that entitles her/him to start preparing a doctoral thesis. The submission of the paper to the SPC must be completed within 12 months after  graduation. A doctoral thesis is not considered. Published work is excluded from the Contest. 

 

CHARACTER OF THE PAPER 

Papers should cover technical and engineering aspects of a subject reasonably within or related  to the areas with which the IEEE is concerned with. The work need not be original in  engineering or scientific content, but should be original in treatment and concise in coverage of  the author’s contribution to the subject. 

 

PAPER REVIEW, JURY, FINALISTS, ORAL FINALS AND PRIZES 

A first evaluation phase (paper review) will be carried out by four jury members including the  SPC Coordinator. The jury members may also use the experts in the pertinent subject area as  reviewers. They will grade the written papers sent by Student Branches to the Regional contest  without knowledge of the identity of the authors and of their school. Based on this evaluation,  the SPC Coordinator will decide which five papers will be accepted for presentation at the  Regional Oral Finals. All five finalists will be invited and financially supported to present their  papers at the IEEE R8 flagship conference MELECON 2022, June 14-16, Palermo, Italy. Papers presented at the Oral Finals will be published in the Conference Proceedings and included  in IEEE Xplore Digital Library. The Jury members will grade the oral presentations and three best  finalists will get prizes ($800, $500, and $200 respectively). The student branch of the student  who wins first prize also gets as an award of $250.

Student Paper Contest 2021: Results and Updates

1st PHASE SELECTION REPORT

For the 2021 edition of the Region 8 Student Paper Contest (SPC) we received 9 papers coming from 7 countries (Belgium, Jordan, Morocco, Saudi Arabia, Serbia, Slovenia, and UAE), from the following Student Branches:

The jury has anonymously selected the following five papers (listed in alphabetical order) for the Regional Oral Finals, which will be held within the frame of an IEEE conference:

2nd PHASE – ORAL FINALS

This year, due to travel restrictions related to the Covid-19 pandemic, the SPC 2021 Oral Finals will be postponed! Hoping that the situation will be significantly better in the fall, the Finals will be organized in
October 2021. The final decision on the location and format will be announced in August 2021.

Available IEEE Programs for Student Branches

IEEE Student Professional Awareness Program (SPAx)

Student Professional Awareness is a program that allows the opportunity for the Student Branch to listen to experienced engineers with different backgrounds and discuss topics about many categories. These activities can involve virtual and in person talks and presentations, panel sessions as well as hands-on team-oriented activities focused on giving practical, real-world engineering experience. Students propose projects through the following portal and are connected to their Regional SPAx Coordinator. The “x” in SPAx is a variable. It could be a conference with an invited speaker, a series of activities focused on honing career skills, a social event to foster networking and team building skills, a design contest, a tech talk, or any other format, as long as they focus on career development. This program allows funding of up to 350$.

IEEE Virtual Speakers Bureau (VSB)

Virtual Speakers Bureau is a program to use IEEE’s network in order to provide more opportunities for students and Branches. You can find speakers and the many categories, schedule a date, and prepare your next event. Imagine being able to tap into IEEE’s vast network to bring a speaker to your branch. You can have an experienced industry professional present a topic of interest to everyone at your Student Branch. Leveraging the Virtual Speakers Bureau to engage student members can help your unit meet its annual activities and reporting requirements. Topics can be professional or technical in nature. They can also span soft skills, volunteer leadership, career tips and ways to get involved in the multitude of IEEE activities. This program is delivered by volunteers at no cost to the Branch.

IEEE STEP Events (Student Transition and Elevation Program)

IEEE STEP was developed to provide a dynamic program for facilitating the transition from Student member to young professional by introducing the opportunities and benefits of IEEE membership during the onset of a STEM career. Basic funding will be provided at the amount of US$500, and additional funding may be available if additional recent graduates attend beyond 25.

New Initiatives Rules – Important

The initiative you are applying with either the SYP, Leadership Camp, Officer Meetup, or Booster Program to the IEEE Region 8 SAC needs to respect and adhere with the conditions stated below in order to be eligible for the funding

NB: Please also note that the funding amount can only be granted after the approval of the submission, the realization of the event and the submission of the required items listed below after the event.

Funding Eligibility Criteria

  • No funding is provided for virtual platforms, COVID tests, Visa applications, and international flights;
  • Travel funding is only accepted for domestic travels;
  • If no deadline is set for the program, the funding request should be submitted at least 4 weeks before the event is scheduled to take place;
  • Should your funding be initially approved, you will have to submit the outcome report after the event takes place;
    • Please be aware that funding is issued only after the event takes place and the required outcome reporting are received, initial approval does not necessarily mean that you will get the funds requested.
  • Outcome report must be submitted within thirty days (30) after the conclusion of the activity with all requested details including the use of funds;
  • Be aware that the committee issue funding at their next scheduled meeting usually once per month;
  • Approved amount of funds may be lower/different from the requested amount due to content of application or outcome report;
  • The committee reserves the right to request documentation to prove the costs of events before approving for funding;
  • Initial funding per program may be provided only once per OU per year;
  • Please itemize all expenses in US dollars only (please do not use local currency in the proposal);
  • If an outcome report is not received, future requests for one year will not be reviewed and/or awarded;
  • The outcome report may be published in R8 channels.

Outcome Reports

If your event funding has been approved, you should submit the necessary outcome reporting. These materials should be submitted within 30 days after the event takes place. OUs that fail to submit the required outcome report within 30 days after the event took place will not receive any event funding. An outcome reporting submission can lead to future requests for one year not be reviewed and/or awarded.

 

The required materials include:

  • Detailed report of the event:
    • Description of the event and its outcomes;
    • Number of attendees (divided according to IEEE and non-IEEE members);
    • Impact of the event (presence of any significant participants/speakers, partnerships or collaborations with other IEEE organizational units or Industry, and reach on social media – including posts, amount of views and number of unique engagements).
  • Final budget:
    • Please include both the tentative budget and the actual spendings, either on separate spreadsheets, or side by side, for comparison purposes.
  • Attendance report:
    • Full name of participants (first name, last name);
    • Email;
    • Section and Student Branch (if applicable);
    • If they are an IEEE member or not;
    • This information is covered by the IEEE Privacy Policy.
  • Photos or videos from the event:
    • Remember to get approval in advance from the pictured participants;
    • It is strongly recommended to include IEEE logo and IEEE R8 SAC logo in the photos;
    • It is recommended to include a group photo with all the participants and photos with promotional materials of the event (flags, roll-up banners, posters, etc);
    • It is recommended to submit an event poster with all information of the event as well as photos and all the supporting units logos.
  • Copies of all advertising materials used (flyers, posters, email invitations etc.);
  • Link to the vTools event report for this event.
